This is a Permanent contract working 37.5 hours per week. Monday – Friday 9.00am-5.00pm these can be discussed, hybrid 2 days in Office generally Tuesday and Thursday may vary some weeks depending on visitors and meetings.

Salary is depending on skillset and experience up to £35,000.

In this role, you will make an impact in the following ways:

  • Carrying out general administrative/secretarial duties

  • Scheduling meetings/ assisting with diary/calendar management using both Zoom and Teams.

  • Arranging travel and processing expenses through Concur

  • Helping with legal matter management software (Legal Tracker/Serengeti) and related processes and systems. Acts as a contact point for external and internal queries regarding legal invoicing and management of legal team matters.

  • Booking external training courses and managing related subscriptions/invoices.

  • Maintaining holiday and sickness records and inputting into holiday and payroll system (e-time)

Office Admins duties: (when in office)

  • Event management and receptionist duties for onsite meetings, including welcoming visitors, setting up rooms, ordering lunches and arranging team events.

  • Some facilities management – liaising with landlord on building issues / maintenance, arranging necessary repairs. Managing contractors and service providers that require site access. Purchasing for office supplies

  • Managing daily post and couriers

Qualifications

To be successful in this role you will need the following:

  • Ability to work on own initiative.

  • Able to prioritise and organize own workload to be able to deliver against deadlines.

  • Organised and methodical. Ability to multi-task.

  • Knowledge of and high level of capability working with Microsoft systems, Legal Tracker/Serengeti or similar legal matter management software and processes, Ariba (invoicing/payment), Concur (expenses) or similar applications.

  • Polite, professional, customer-orientated manner. Ability to represent the department to internal and external clients.

  • Excellent attention to detail. Flexible, adaptable, and prepared to be “hands on”.

  • Excellent English communication skills (both written and verbal). Excellent interpersonal skills to be able to liaise effectively at all levels.
